The Estimate Life Cycle is the process the Estimate travels through from creation through completion.  There are various stages of an Estimate that produce different behaviors regarding editing, viewing and availability within reporting and other iSite modules.

Additionally, the Estimate Life Cycle is also affected by the integration of a Task Order Request Workflow.  Within a Task Order Request Workflow, life cycle stages are governed by internal Workflow activities.

Stages of the Estimate Life Cycle

The following represent the stages of an Estimate during the Estimate Life Cycle:

  • Draft
    • When a new Estimate is created, the Estimate begins in Draft status
    • An Estimate can ONLY be edited when in Draft status
  • Awaiting Review
    • When an Estimate is completed and submitted for approval, the Estimate is placed in the Awaiting Review status
  • Approved
    • When an Estimate that was submitted for approval is reviewed and then approved by the reviewer
  • Rejected
    • When an Estimate that was submitted for approval is reviewed and then rejected back to the author for modifications
  • Published
    • When an approved Estimate is considered "official" and then published to the iSite Reporting Tables to be used within the Financials Module
  • Canceled
    • When an Estimate is no longer needed, it can be marked as Canceled.

The Estimate Life Cycle within a Task Order Request Workflow

While the stages of an Estimate don't change, the way those stages are managed within a Task Order Request Workflow are different than an Estimate not attached to a Workflow.

  • Creating Estimates
    • Estimates are still created in the same manner, however, Estimates are only created for the subject Task in the Workflow
    • As Estimate can be created in the following manners:
      • Via the Estimate Creation activity
      • View the Estimate List when the Estimating Module is active during a Workflow
  • Submitting for Approval
    • In a Workflow, the Submit for Approval button is disabled.  Estimates are Submitted for Approval using the Estimate Completion activity.
  • Reviewing
    • Estimates created within a Workflow are reviewed in a different manner than those created outside of a Workflow.
    • Estimates are reviewed during the Estimate Review activity
  • Publishing
    • Estimates created within a Workflow are reviewed in a different manner than those created outside of a Workflow.
  • Canceling
    • A Task Order Request Workflow can only have ONE representative Estimate for the Task.
    • During the Estimate Completion activity, any Estimate not selected as the representative Estimate for the Task will be marked as Canceled.
    • Users may also manually mark an Estimate as Canceled within the Estimate Viewer.
